How to Add A New
Account
To An Existing Financial Statement

Overview |
When a new account is added to your General
Ledger chart of accounts, it needs
to be added to the financial statement in which you wish its balance to
appear. |

|
An account can appear in a statement in two
ways: as part of a range of account numbers or as a separate line item. If the account you have added is already
included in a range of account numbers whose total prints on a statement, you
do not need to make any changes to that statement. If the new account is not included within a range on a
statement, you will need to maintain the statement in which this account
should appear. |

Procedure |
After adding the account in ‘File Maintenance’- ‘Chart of Accounts’, go to ‘Statements’ - ‘File Maintenance’ - ‘Row’. Enter the row code of the statement you
wish to change. |

|
|
|
Press <F2>
while in the header screen and you will be presented with the detail
screen listing the first sequence number on the statement. You will then be in "UPDATE"
mode. |
|
|
|
|
|
|
|
If you know the sequence numbers of the lines
preceding and following where you wish this account to appear, use the "INSERT" mode <F5>. You will see a sequence number appear. In the
“Row Type” field, enter "a"
for account. This number is the last
sequence number currently used in the statement plus 100. (This is because the system assumes that
you want to add to the end of the statement and it increments by 100.) Press the <Shift>-<TAB> to move the cursor to this field and change
it to a number halfway between the sequence numbers preceding and following
where you want it to appear. Press <F2> and continue entering the
information as usual. |

If you do not know the sequence numbers of the
lines before and after where you want this account to appear, press the <F8> key to put you in Update
Mode, so that the sequence number is blank. |
|

|
|
|
|
|
Use the
"SEARCH" <Ctrl-L> function and the descriptions of each
line will list in the look up box.
Page down until you find the line which immediately precedes where you
want the account to be added. Press
<Enter>
to select this line and then note the sequence number. |

|
|
|
|
Switch to "INSERT" mode <F5>. You will see a sequence
number appear. In the "Row Type" field, enter "A" for account. This number is the last sequence number
currently used in the statement plus 100.

Continue with all
accounts added and all statements that need to be changed. |

Summary |
Whenever an account
is added to the chart of accounts, it needs to be reflected in the financial
statements. This can be within an
existing range, or as a new line added to the statement. |

|
|
|
|
It is recommended that you keep a printed hard
copy of your 'Financial Statement
Rows'. ('General Ledger'- 'Statements'- 'File Maintenance'- 'File Lists'-
'Rows'). This provides you with
sequence numbers and makes it easier to identify where additions and changes
are to be made. After making any
changes, print out the latest version and keep it on file. |
