Print Control Administration Technical Note

 

The Administration Toolbar is accessible from the main DPHS menu, it contains administrative functions for Printing, Applications, Groups, Users, and Activity. As these are high-level, system wide settings, we highly recommend that you only allow System Administrators and Data Plus Staff  access to these functions  The purpose of this document is to give an overview of Print Control and how it can be utilized in your system.

 

 

I. Accessing the Administration Toolbar

The Admin Toolbar may be accessed from the main DPHS menu. Select Administration > Administration.

 

 

Upon making this selection, the Administration Toolbar will appear.

 

 

II. Print Control

 

The Print Control function contains the print specifications for every output that exists in Data Plus. Modifications may be made here to escape sequences, page length, font, orientation, print options, etc. Changes made will ONLY affect the individual report / output to which changes are made.

 

Upon selecting Print Control from the Admin Toolbar, the following screen will be displayed.

 

 

Filter Options

 

This section contains various filter options that may be used if you would like to view particular outputs. For example, if you only wish to view outputs for Accounts Payable that have a Font of 12, you would enter information as shown below:

 

 

To filter by application, you will need to use one of the following abbreviations:

 

 

HAP

Accounts Payable

HGL

General Ledger

HAR

Accounts Receivable

HPA

Payroll

HPN

Personnel

HPM

Project Management

HMR

Membership Receivables

 

 

 

Once you have made your selections, select the  button. The system will then filter the outputs displayed, based on your filter option selections. If you would like to clear the filter options you entered, select the  button.

 

The filtered outputs will be displayed, as well as their assigned Font, Page Length, Width, Orientation, and their Escape Sequence status. 

 

 

 

Detail 

To view the detail information and/or make modifications to a particular output, highlight the Output, and double-click or press . The following screen will appear.

 

From the detail screen, you may modify the Page Length, Font, and Print Options (this determines the default print options for the output, and which options may be edited by the user), and whether or not the Options Page (prints selection criteria) should print on the first/last page, or not at all.

 

The page length generally defaults to 58 (lines per page), however it can be increased & decreased as you see fit.

 

You may also use Ctrl-L to search and select a new font to use for the output.

 

Please Note: We do not recommend that any users attempt to make changes to an Escape Sequence on their own. Please contact Data Plus Support for assistance.

 

Once you have made your changes, press OK to save, and you will be returned to the main Print Control screen.

 

Custom Forms

This option has been made available for those users who require that they use their own custom forms when printing. This may be critical in cases where two printers with incompatible escape sequences are used or if they use a program that intercepts printer output to create a pdf file (ex. Paperport). Upon selecting this option, all current Custom Forms will be displayed. Users will have the option to add new custom forms, or delete custom forms. Users may enable these forms and queues by choosing Control on the runtime options screen.

 

 

Change Font by Filter Settings 

 

This task is available from the main Print Control screen. This allows you to change the Font for all of the outputs displayed in the bottom portion of your screen (based on your filter settings). Once this task has been run, it MAY NOT be reversed, so please verify that you want to change all of the outputs that are displayed to the font number you specify, prior to running.

 

 

 

 

 

III. Troubleshooting Tips

 

Problem

Possible Solution

A report is wrapping

Try selecting a smaller font size for that output.

A report is not using all of the available print space. It may continue to the next page after only filling ¾ of the previous page.

Try increasing the page length of the output.

A report is printing landscape, but you would like it to print portrait.

Go to the output for that report & change the orientation.

You sent the print job to the printer, but nothing prints out.

Verify that you selected the correct printer & try reprinting. If you continue to have a problem, contact Data Plus Support for assistance.

The report is printing in an illegible, and slanted font.

The printer may not recognize the font that is currently selected. Try changing the font for that output & reprint. Continue until you find a font that prints clearly.

You are having problems printing your checks or AR invoices.

Most checks or AR invoices have their own custom output, which include escape sequences. Do NOT attempt to change any escape sequences. Contact Data Plus Support for assistance.

When you print your statements your top margin is either to large or too small.

This can be fixed on the Run Time Options screen – the second screen that appears when you print your statements. The last field is ‘Top Margin Lines’, increase or decrease the number as you see fit.

Some characters are getting cutoff on your report.

Go to the output for that report & try selecting a smaller font.

When you print a report, the option to print it to screen is not accessible.

Go to the output for that report & modify the Print Options section. If you want to be able to access one of the fields when you are printing the report, make sure to check of the Edit button next to that option.
